Role Overview

We are seeking a highly organized Executive Assistant to provide dedicated support to our two Managing Partners (MPs) and to help keep the firm’s day-to-day operations running smoothly. The ideal candidate is proactive, detail-obsessed, discreet, and unflappable under pressure. You anticipate needs before they’re voiced, take pride in flawless execution, and find satisfaction in being the person who makes everything run on time and without friction. You’ll be the connective tissue between the MPs’ calendars, the office, and the firm’s events. This role reports to both Managing Partners and works closely with the Platform Partner, with responsibilities to the broader team.

Key Responsibilities

Calendar & Scheduling: Own the MPs’ calendars end to end. This includes scheduling meetings, resolving conflicts, protecting focus time, triaging incoming requests, and ensuring the MPs are prepared and on time for every commitment.

Communications & Travel: Coordinate complex domestic and international travel, build detailed itineraries, and handle the partners’ expense reporting and reimbursements.

Office Management: Run the office, manage vendor and facilities relationships, supplies and equipment, mail, building and security coordination, and overall upkeep of a welcoming, well-functioning space.

Event Support: Provide logistics support for firm events alongside the Platform team, from LP gatherings and dinners to team offsites and the firm’s flagship multi-day Annual Meeting. Help coordinate vendors, catering, headcount and RSVPs, AV, seating, and on-site setup, and track event contracts and payments so nothing slips.

CRM & List Management: Keep the firm’s contact and relationship data current, including maintaining the CRM, building and tracking guest invite lists. Accuracy here directly supports fundraising, events, and partner relationships.

Stakeholder Management: Serve as a warm, professional point of contact for LPs, founders, and VIPs, handling sensitive relationships and information with discretion.

Qualifications

  • 4-6 years of experience as an Executive Assistant or in a similar support role, ideally supporting senior executives in venture or startups.
  • Exceptional organizational skills and follow-through, with a proven ability to juggle multiple priorities and shifting demands without dropping details.
  • Strong written and verbal communication skills. A high level of responsiveness to internal and external requests, communicating quickly, clearly, and concisely.
  • High degree of discretion and professionalism in handling confidential information and sensitive relationships.
  • Flexibility to work outside normal business hours around key events and travel.
  • Experience coordinating events and/or managing an office or facilities is a strong plus.
  • Tech savvy and comfortable in a modern, AI-forward stack. Experience with tools like Google Workspace, Slack, Notion, and a CRM (Affinity or similar) is a plus, along with genuine curiosity to experiment with and learn new systems.
  • Interest in climate, sustainability, or venture is a plus, but not required.

Location San Francisco, CA. Congruent maintains an in-person hybrid schedule with three or more days per week in-office in downtown San Francisco.
